Using the calendar in GA4 is a handy way to keep track of work coming in and managing what is happening on a day to day basis. By adding appointments to the system with Customer / Vehicle details you can quickly link all the appointment information at any time to a document which would bring over all the information you have already provided within the appointment, so no double entry of data is needed.

Another handy feature is that our calendar system works alongside our online booking feature which is now available to all customers, there is a fee involved which is 1 credit per booking received or alternatively if you take a larger volume of bookings you may want to sign up for an online booking subscription ( Fees available from the website )

Calendar Views


The calendar views available are by;

  • List
  • Day
  • Week
  • Month
  • Calendar Day Selection

The day view is a common one as it will show you all your bays and the appointments for that day in a clear view, however, the list view comes in handy when you need to perhaps search a specific bay/status or date range. the list view is also printable.

New Appointments


Follow these simple steps to add an appointment from the calendar screen (Please also see note below for a quicker alternative way to add appointments;

Either

  • Click New Appt
  • Enter Start & End - Date and Time
  • Allocate a Bay

or

  • Click and drag within the calendar to "draw" an appointment into the desired bay
  • Adjust as required

  • Set a Status (you can setup your own here)
  • Notes - Brief description of why the appointment was made
  • Registration (Optional at this time but we do recommend as much information)
  • Account Number / Search or Add new customer (Again Optional at this time but recommended)
  • Save

Your appointment has been added to the calendar.



Adding and Linking Documents


You can add a document to an appointment easily and also saves time doing any double entry as the more information you add to your appointment not only helps but also gets transferred to any documents you create from the appointment. Once you are in your appointment details screen simply click New Doc and then select the type of document you would like. This then opens up the document will all the details you have already supplied in the appointment section.

However, if you already have a document on the system which relates to this appointment you can still link the two together. Firstly make sure you note down the type of document it is and the document number then simply go to the appointment and click Link to Doc and simply enter the type and number. The appointment and document will now be linked together going forward.

Setting Repetitions


 GA4 allows you to set repetitions against appointments via the appointment details screen. You can have repetitions set to either;

  • Daily
  • Weekly
  • Monthly
  • Yearly

Once the repetition has been created it becomes its own individual appointment. By deleting one of these appointments would result in an option to delete just this instance or all repetitions.
