Vat Rounding Penny Out - Calculation per line item not sub total.

UK VAT Calculation: Line Item vs. Subtotal

In the UK, HMRC allows you to calculate VAT either per line item or on the subtotal, provided the chosen method is applied consistently.

Both approaches are compliant under HMRC regulations, but calculating per line item is standard practice for accounting software.

1. Per Line Item vs. Subtotal Calculation

  • Per Line Item (Recommended and as per GA3/GA4):
VAT is calculated on each item line, rounded to two decimal places, and then summed together to give the final tax total. This approach is ideal because invoices often combine items with different tax treatments (e.g., standard 20%, reduced 5%, or zero-rated 0%) and also when applying per line discounts.

  • Subtotal Calculation (not used): VAT is calculated by taking the net subtotal of the entire invoice and multiplying it by the tax rate once, then rounding to two decimal places.
Not ideal when zero rated MOT's are part of the invoice.

Rounding Differences

Rounding fractional pennies during calculation can result in a 1p difference between the two methods.

Example:
  • Item 1: £10.43 net → 20% VAT = £2.086 → £2.09 (rounded)
  • Item 2: £0.83 net → 20% VAT = £0.166 → £0.17 (rounded)

  • Line Item Method Total VAT: £2.09 + £0.17 = £2.26   (as per GA4)
  • Subtotal Method Total VAT: £11.26 net × 0.20 = £2.252 → £2.25

HMRC considers minor 1p discrepancies stemming from standard rounding rules acceptable.

As above, Garage Assistant performs its calculations on an invoice per-line-item level and not on the overall invoice totals.

We chose this method to remain consistent with the industry and especially to stay in line with the accounting packages on the market (at the time of writing), such as Sage Line of products, Xero, Quickbooks and others, which also use per-line calculations.

In addition, it allows Garage Assistant to cater for more than one tax rate on a per-line item basis, allowing it to be used for such instances where varied tax rates are used for individual line items.

The difference is noticeable if you are comparing the VAT calculation by performing the following calculation:  Net Subtotal  x 1.175

This may not always add up to the VAT total shown in GA3 / GA4 due to rounding. However, GA3 / GA4 is correct for the methods used consistently through our system.

However, if you need to make an adjustment to satisfy a third party who's system has a mismatch, such as a warranty / insurance invoice, you can click the popup icon next to a labour / part line and manually adjust the vat, to align your system with the third party.

Another older example of this would be:

Line 1 : 35.00 + vat @ 17.5% for this example
Vat : 6.125 (rounded = 6.13)
Total : 41.125 (rounded = 41.13)

Line 2 : 45.00 + vat @ 17.5% for this example
Vat : 7.875 (rounded = 7.88)
Total : 52.875 (rounded = 52.88)

Therefore, the totals are:

Sub Total : 35.00 + 45.00 = 80.00
Vat : 6.13 + 7.88 = 14.01
Total = 41.13 + 52.88 = 94.01

A comparison with Sage Instant Accounts V12

Below is a Screen shot taken from Sage Instant Accounts 12
As you can see, the total is also 94.01 and the VAT figure is 14.01, as it is within GA3 / GA4

Hopefully, this will help you to understand how the calculations work in GA3 and how they are indeed accurate for the type of invoicing being performed.
