Booking System Options


Options - Configuration 

This area lets you specify various options for the online booking system.  Including:

  • The ability to allow customers to cancel online, along with restricting the minimum time in which a cancellation is allowed.
  • The ability to require your customers to confirm their email address before a booking is actually placed on the system.  
  • Restricting access to the system so only users you set up in the 'Account Customers' section.
  • Restricting how many months ahead you are willing to take bookings

Options - Customise Colour Scheme

This area lets you change the colour scheme of the booking system so it matches the theme of your own website.

There is a selection of preset schemes available, along with options to choose your own colours.
We recommend experimenting with the options available.  You can always reset to original.  

Options - Add to your Website

This option opens up an integration wizard allowing you to specify a variety of options and choose how you wish the booking system to be integrated into your website.

The final step will produce a block of HTML code for you to paste into your own website where you would like the booking system / buttons to display.

Account Customers

If you add a trade customer to this section they will be able to preview a list of their bookings and (if allowed in the admin) can cancel or make further bookings without adding their company details for each booking. 

To ensure their account is correctly linked with GA3, please enter their account number from your GA3 database.  This ensures that when an appointment is downloaded, the account is automatically selected. 

 

Individual Service Options


Under each individual service, there's a selection of options available to further customise the system and your availability. 

Add new service

Initially, there will be no services set up on your account,  Clicking this link will create a new service and ask you to provide a name, description and an icon for this service.
Once added, you can expand the service to view the following options. 

 

Add new bay

This adds an additional bay to the service.  Think of these as how many of that type of service you can do at the same time. i.e for MOT's you may have 2 MOT ramps, allowing you to carry out two MOTs at 9am

Additional bays will allow multiple bookings for the same available time. 

 

Change - Details

This section allows you to change the service name, description, price and the type of service you wish to make available on your booking system.

Due to the limit in space on the booking form, you can only type a few words into the sections here, you can use the view live system link at any time to be sure it looks ok. The price section does not have a currency symbol added automatically, you can add it if you wish.

You don't have to add a price in this section, you can write other things if required, you are only limited by a number of characters that you can use.

 
Booking Times

From here you can specify the days and times that you are willing to accept your bookings on-line, simply tick the days that you want to accept bookings and add the times you are available.

When adding a time slot, please ensure you fill out all the fields, including the duration of the appointment.

 

Unavailable Dates 

This section allows you to set the on-line booking system to NOT allow bookings on certain dates that you set, for example, Christmas day, a trip to the dentist or a staff holiday.

Click on the date area and a calendar will pop up for you to choose the date you don't wish to accept bookings for, you can add a note in the description box if you wish (for your use), then click add - this will add the date to the list on the right and the appointments system will automatically close for the dates you have chosen.
